As the Maintenance Manager, you will be responsible for scheduling and tracking work orders and unit turns and managing a team to maintain property grounds including mechanical and manual snow removal. In addition, you will be required to perform general maintenance and repair duties. This position is responsible for budgeting, preventative maintenance schedules, and documentation (snow logs, contractor bids, maintenance records) and requires the ability to work different shifts, including on-call, emergencies, weekends, holidays, and extended hours outdoors in different weather conditions. Responsibilities: 

  • Carry out supervisory responsibilities in accordance with the company’s policies and applicable laws; directly manages front office and on-site maintenance personnel; schedule front office personnel. 
  • Responsible for training employees, planning, assigning and directing work, appraise performance, reward and discipline employees, address complaints and resolve problems. 
  • Maintain a professional relationship with the owner, vendors, insurance companies, auditors, and all personnel involved with the property. 
  • Complete resident billing of monthly rental fees and other misc. charges; collect, process, deposit and record all income, and notify residents of non-payment. 
  • Perform month end closing procedure and ensures that reports are accurate and submitted in a timely manner; maintain and reconcile petty cash account.
  • Maintain and update the property file system on work orders, general correspondence, residents and employees. 
  • Maintain Certificates of Insurance with vendors and contractors. 
  • Provide quality, professional service to the residents including preparing paperwork for move-in, move-outs, re-certifications, and preparing and completing required lease renewal paperwork.
  • Payroll administration including pay packages, termination packages, and payroll transmittals.
  • Purchase and supervise the maintenance of all office and administrative supplies and equipment; process purchase invoices on a weekly basis; manage purchase orders and budget control ledger. 
  • Maintain department expenses within budgeted parameters.

In addition, the Property Manager will be responsible for directly managing on-site staff, as well as maintaining a professional relationship with the owners and vendors and upholding all applicable outside agency standards.

Requirements:

  • Minimum of 3 years of management experience in Property Management required
  • Knowledge of Public Housingregulatory guidelines required
  • REAC preparation experience required
  • Experience with managing staff, scheduling and multi-tasking

As a Maintenance Technician, you will be responsible for performing general maintenance and repair duties, completing residential work orders in timely and accurate manner, and unit turns (tear down and maintenance repair of vacant units). This position is also responsible for maintaining property grounds (clean up and trash removal) including mechanical and manual snow removal and requires the ability to work different shifts, including on-call, emergencies, weekends, holidays, and extended hours outdoors in different weather conditions. Teamwork with the ability to work within different departments and with other staff is necessary to be successful.

Requirements:

  • Two or more years of experience with multi-family maintenance including basic plumbing, electrical, repairs and unit turns
  • Customer Service attitude in all interactions with staff and residents
  • Experience with drywall repairs and painting
  • Excellent communication skills
  • Self-motivated with the ability to work as a team and independently
  • Experience with snow plowing preferred
  • May be required to lift up to 50 pounds

Responsibilities:

  • Answer telephones and provide leasing information, make appointments to show apartments, take maintenance requests. 
  • Greet potential residents, determine their needs and prepare all appropriate documents, i.e. application, guest cards; show residents models or vacant apartments; verify lease and forward all pertinent documents to property manager for approval. 
  • Once a lease is approved prepare move-in information and review with resident. 
  • Follow up verbally and in writing with all prospects who did not lease. 
  • Prepare all relative reports regarding the lease traffic daily. 
  • Inspect public areas daily and vacant apartments weekly for cleanliness. 
  • Assist Property Manager with advertising, newsletters, resident parties, preparing brochures, and general office duties. 
  • Maintain courteous and professional relationship with all residents, applicants and representatives of other companies. 
  • Maintain a high resident retention through renewal programs and community parties. 
  • Arrange resident activities, i.e. movie night, bus trips, walking groups or craft groups. 
  • Comply with all Fair Housing and Federal Trade Commission requirements. 
  • Maintain all proper licensing requirements. 
  • Maintains a positive Customer Service attitude in interactions with staff and property residents.
